SATLANTIS is looking for an Administrative profile to provide support in the Administration department.
Below is a detailed list of tasks to be performed. It is not expected that all tasks listed here will be carried out by a single person, but rather in cooperation with the rest of the team, with responsibilities assigned based on individual experience and capabilities.
Tasks and responsibilities:
- Answering phone calls;
- Welcoming visitors (clients, suppliers, couriers, tradespeople, etc.);
- Managing the CEO’s calendar;
- Receiving orders;
- Managing, processing, and archiving documents (both digital and paper): delivery notes, invoices, orders, contracts, etc.;
- Control and management of banking: payment of bank reconciliations and payment receipts;
- Supporting the management of flex time, vacations, and absences of employees;
- Managing enrollment in private health insurance;
- Controlling representation expenses (EXPENSES);
- Organizing travel arrangements: flights, hotels, etc.;
- Managing national and international shipments;
- Supporting the Finance, HR, Marketing and Purchasing departments;
- Managing laboratory waste;
- Requesting quotes from suppliers and comparing prices of general supplies.
Skills and experience:
- Degree/Advanced Degree in Administration and Management and/or Finance;
- Proficiency in office tools: Microsoft Office 365 package;
- Around 2 years of experience in a similar role;
- Problem-solving and organizational skills as key management competencies;
- Teamwork as a key management competency.
Languages:
- Spanish C1
- English B2 (or equivalent for negotiations).
